Choosing Exhibit Space at a Tradeshow or Convention

First, let’s make sure you’re at the right conventions, tradeshow or congress. Make sure you research the demographics provided by the show organizers. Do they align with your company’s goals and objective for the show? If so, NOW we can consider how to select the best size and space. And there is much to consider!

Selecting the ideal exhibit space at a tradeshow or convention is a critical decision that can significantly impact your success. Let’s jump into analyzing some of the important considerations to ensure you’re making the best decisions:

Location, Location, Location

Yes, we’ve all heard the saying location, location, location but there’s a reason it popular, it’s true. Your location on the exhibit floor can make all the difference. Think about the following before you decide.

  • High Traffic Areas: Prime spots include entrances, main aisles, and near popular attractions like food courts or seminar rooms.
  • Visibility: Ensure your booth is easily visible from various angles, which can help attract more visitors.

Size and Configuration

The design and configuration of your exhibit is also integral to your decision making.

  • Booth Size: Determine the appropriate size based on your display needs, the amount of staff, and the activities you plan to conduct.
  • Layout: Consider the configuration (e.g., island, peninsula, inline) that best fits your design and engagement strategies.

Proximity to Competitors and Partners

  • Competitors: Being near competitors can draw their traffic to your booth, but it can also increase competition for attention.
  • Partners: Positioning near complementary businesses can enhance cross-traffic and collaborative opportunities.

Amenities and Utilities

Choosing a location with your electrical, internet and accessibility is important. Not only can it make set up easier, but with that comes reduced stress on the day of show.

  • Electrical and Internet Access: Ensure your space has the necessary power and connectivity for your equipment and interactive displays.
  • Storage and Accessibility: Adequate storage for materials and easy access for setup and teardown are important logistical considerations.

Budget Considerations

As always, the budget can dictate what spaces you should be considering. Size and location are key factors. So before deciding consider your goals and objectives and weigh the cost vs. the projected outcomes.

  • Cost of Space: Premium locations come with higher costs. Balance the potential return on investment with your budget.
  • Additional Costs: Factor in any additional costs for utilities, labor, and special services that might be required for your chosen space.

Points System and Seniority

Show organizers often award points to exhibitors to entice their return at future shows. As their points accumulate and the more seniority exhibitors amass, the more this type of system rewards loyalty. Because of this, if interested in exhibiting, be sure to make a decision to participate as early as possible to enhance your chances of getting the space you want.

  • Understanding the Points System: Many tradeshows use a points system where exhibitors earn points based on criteria like years of participation, size of previous booths, and sponsorship levels. Higher points can give you priority in choosing your space.
  • Seniority Advantages: Exhibitors with more points or seniority often get the first choice of prime locations, making it crucial to participate consistently and consider sponsorship opportunities to boost your points.

Early Planning

It is always best to plan. Securing your space for next year’s show can often happen onsite so be sure to pay attention to when options for choosing space will be available.

  • Advanced Booking: Secure your space early to increase your chances of getting a desirable location, especially at popular events.
  • Site Visits: If possible, visit the location in advance to get a feel for the layout and traffic flow, which can inform your decision.

By carefully considering these all these factors, you can choose an exhibit space that maximizes your visibility, engagement, and return on investment at your next tradeshow, convention or congress. If unsure, be sure to seek the advisement of your exhibit house. An experienced exhibit house can help provide strategic direction and advisement to ensure your success.
